Office Manager

Full-Time

We are looking for a full time Office Manager with skills and experience in administration, hospitality, events, property management, and bookkeeping. The Office Manager must possess a wide range of skills to carry out different responsibilities including daily office operations, as well as support with events, account management, and cross departmental communications with a positive and collaborative approach.

Administrative Responsibilities:

  • Answer and direct phone calls; greet visitors and interface with vendors

  • Track and organize contacts through Every Action contact management system

  • Organize team meetings and maintain calendars

  • Create and maintain digital and physical filing systems

  • Provide direct support to Executive Director and Rebuild leadership team

  • Draft and distribute invitations, letters, and maintain other forms for correspondence

  • Make travel arrangements, restaurant reservations, and book flights

  • Assist with planning and production of public programs and donor events

  • Ensure efficient operation of all office equipment

  • Maintain supply inventory at multiple sites by monitoring inventory level, predicting

    supplies needed, and expediting deliveries when necessary

  • Conduct research and update presentations

  • Collect and distribute mail from multiple sites

  • Liaison with non-profits, government agencies and organizations

  • Arranging contracts for maintenance, trash removal, landscaping, security, and other

    ongoing services

Property and Financial Management:

  • Issue and maintain lease agreements for properties that Rebuild occupies; liaise with artists in residence

  • Maintain updated list of properties; monitor real estate tax assessments; coordinate with management and arrange appraisals as needed

  • Assist with the management of departmental budgets

  • Provide some support to bookkeeper and accountant entering invoices and

    processing payments when needed

  • Maintain all utilities throughout the sites, including turn-ons, turn-offs, and

    invoicing

  • Receives and coordinates maintenance requests

  • Collects rental payments and fees

  • Assist with move-ins and move-outs for tenants

  • Conducts walkthroughs and safety checks of units/properties

  • Maintaining records of income, expenses, signed leases, concerns,

    maintenance, etc.

  • Paying property expenses, including taxes, mortgages, payroll, insurance

    premiums and maintenance costs

Skills and Experience:

  • A high school diploma or equivalent is required

  • Bachelor’s Degree or Associate’s Degree in Business Administration, or

    accounting a plus

  • Related experience with a proven track record

  • Understanding of office management systems and processes is required

  • Excellent time management and multitasking abilities, as well as the capacity to prioritize tasks

  • Experience as a property manager or in a similar role

  • Working knowledge of property regulations and City of Chicago ordinances

  • Detail oriented and problem-solving abilities

  • Excellent communication abilities, both written and oral

  • Microsoft Office Suite (MS Office) savvy (Microsoft Excel, Microsoft Word,

    PowerPoint)

  • Proficiency in QuickBooks, Bill.com, CMS experience preferred

PHYSICAL REQUIREMENTS

While performing the duties of this job, the employee is frequently required to stand, walk and sit. The employee must occasionally lift and/or move up to 50 pounds. Requires ability to stand throughout the workday, some bending, stooping and stretching, requires eye-hand coordination and manual dexterity sufficient to operate equipment. Requires normal range of hearing and eyesight to communicate with staff and guests. Primary work hours will be between 9:00 am and 5:00 pm with additional evening and weekend hours for dinners and special events.

Bookkeeper

Full-Time

We are looking for an experienced bookkeeper. This role will work in tandem with the Finance Manager, and report to the Director of Programs and Operations with additional input from the Executive Director. The bookkeeper will verify that all information is properly entered into the accounting system, record all transactions in a timely manner, and liaise with vendors to ensure that bills are paid on time, and that proper records exist to track expenditures. It is the task of the bookkeeper to verify the accuracy of monthly bank reconciliations, preparation of remittance advices for payment, and other banking transactions. The bookkeeper is also responsible for payroll calculations, enrolling new employees in benefit programs, tax payments, and preparation of reports to be submitted to the appropriate regulatory bodies.

Primary Responsibilities:

  • Manage vendor bills, payments, and files via Bill.com and Quickbooks

  • Run weekly Bill.com/Quickbooks sync for all entities

  • Enter new hires into payroll system and adjust employee withholdings as necessary

  • Update PTO balances in payroll system

  • Enter monthly credit card transactions into Quickbooks and reconcile monthly credit card statements

  • Make biannual property tax payments

  • Manage monthly sales tax filings and payments

  • Deposit, record, and track donations and grant payments

  • Collaborate with accounting consultants on transaction coding and financial reporting

  • Assist with annual audit

  • Other financial related tasks as needed

Communications Assistant

Full-Time

As our work grows and expands, we are looking for a communications assistant to join our team! Storytelling is deeply important to our work at Rebuild Foundation, and we are excited to welcome a highly motivated individual who shares our passion for creatively sharing our work with the world.

This role will work in tandem with Rebuild's Communications and Content Manager, and report to the Director of Communications and Philanthropic Initiatives with additional input from the Executive Director. The Communications Assistant will be an integral part of the larger communications team that drives our storytelling engine forward. This role will support with capturing content at programs and events, assist with curating content on our social media channels, liaising with our programming team and other duties as needed.

Primary Responsibilities:

  • Work collaboratively with the Communications Manager and Director of Communications to plan, implement and execute a robust communications calendar

  • Collect and share press clips relevant to Rebuild Foundation's work

  • Manage and maintain a growing database of supporters, friends, neighbors and visitors

  • Assist in crafting program language and sharing with our varying communities

  • Grow Rebuild's press contacts in Chicago and nationally and maintain internal media contacts list

  • Coordinate and participate in the capture and archiving of visual assets

  • Attend and document Rebuild programs and events in real time

  • Develop and liaise with a large network of Chicago-based photographer and videographers whose aesthetic and community values are aligned with Rebuild's work

  • Collaborate with the Communications Manager to co-develop newsletter and editorial social media content that is engaging, on-brand, on-message and appropriate for our channels

  • Contribute to audience development strategies both digitally and in-person 

  • Consistently update the website and other channels with our events and programmatic calendars

  • Other duties as assigned and necessary

 

Required Skills, Characteristics, Education and Experience:

  • Positive and collaborative attitude

  • Experience with Microsoft Office, Facebook, Instagram, Twitter, Mailchimp, Eventbrite required

  • Experience with TikTok is a plus!

  • Skilled in basic photography and videography

  • Chicago-based and able to attend in-person events frequently

  • Strong communication and interpersonal skills

  • Good organization and multitasking

  • Bachelor's degree in Communications, Marketing, Art or related field
